In this episode, I wanted to share some behind-the-scenes updates about my business and admit something—I am stressed. Yes, even the person behind Systems Over Stress gets stressed about her own business. It's that lingering stress that keeps me up at night thinking about all the extra work I need to do. I've had those moments of crying to my business coaches and even wondering if I should burn it all down. But don't worry, I am fine, the business isn't going anywhere, and I'm not actually burning anything down.
Here's what I've been up to:
1. Recognizing Stress as a Signal:
2. Content Systems Overhaul:
3. Client Results Tracking Systems:
4. Agency Delivery Systems:
Final Thoughts:
- Addressing the systems issues in your business is the quickest way to get out of overwhelm and stress. If you're feeling stressed, it's a sign that something needs to change. Let me and my team help you identify the systems that will alleviate that stress. We're always taking sales calls to slot you into our next available month.
- On a sales call, you'll tell me what's not working in your business, and I'll recommend simple system solutions we can build in Airtable to alleviate stress immediately. We'll look at your onboarding, offboarding, launching, spreadsheets, and current Airtable bases to automate your team's admin hours, make you more money, and improve your client results.
- I'm comfortable admitting that I sometimes get overwhelmed, but I know how to build the systems to get out of it. If you're feeling the same way and don't know where to start, let me help you. I hope this behind-the-scenes update was helpful. We'll see you in the next episode!

RESOURCES MENTIONED:
MacBook Pro Microphone-12: Hey friend.
2
:So welcome to this episode
of system's famous.
3
:I'm excited to be in
your podcast feed today.
4
:I wanted to share just some behind
the scenes of where I've been out
5
:with my business and specifically.
6
:That I am stressed.
7
:Yes.
8
:I have something to admit.
9
:I actually the person with the
business, same systems over stress has
10
:been stressed about my own business.
11
:Like the kind of stress where I'm
like going to bed and thinking about
12
:all the extra work I still need
to do, like that kind of stress.
13
:Like it's always lingering.
14
:Crying to my business coaches inside
the Voxer kind of stress, like, do
15
:I burn it all down kind of stress.
16
:I share this.
17
:Not to worry you.
18
:I am fine.
19
:I am supported the business.
20
:Isn't going anywhere.
21
:I'm not actually going
to burn anything down.
22
:I'm not actually gonna
get rid of my business.
23
:I'm not actually going to.
24
:You know, totally change my offers or
get rid of offers or anything like that.
25
:But I did just want to share that if
you are in this mode, Like, if you are
26
:feeling stressed about your business.
27
:It is such an important time to pause
and take stock of what's going on.
28
:For me, stress is one of
the key indicators that just
29
:something is generally off.
30
:Something is off about my business.
31
:Something is off about the way I'm
handling my business, the way I'm setting
32
:my boundaries, the way my team and I
are communicating, like just something
33
:is off and something is up and whenever
I'm stressed and I actually take
34
:enough time to pause what I'm doing.
35
:Get out of the weeds, be gentle with
myself and really trying to problem solve.
36
:I always come back to the same
solution, which is like, we
37
:just need a better system.
38
:It is my systems.
39
:My systems are the issue systems,
overstress, my businesses,
40
:HOD systems over stress.
41
:And I truly mean it.
42
:Like if something is wrong, There
is a system that can solve for it.
43
:It might be the systems
that we had in the past.
44
:Aren't working anymore because we
have grown because we have scaled
45
:and yes, we always focus on scalable
systems, but you always have to be
46
:tweaking and adjusting your systems.
47
:A good system.
48
:Isn't actually just like.
49
:You set it up and then it's good
for the rest of your business.
50
:A scalable system is one that
you can easily make edits
51
:to and it can grow with you.
52
:So maybe my lifestyle has changed.
53
:So my current systems aren't working, our
client roster has grown source systems.
54
:Aren't working, something like that.
55
:That is so totally normal.
56
:Your systems are always going to
be evolving and it can feel like
57
:you were too busy to take a beat
and work on your own systems.
58
:But I promise you, and
I know from experience.
59
:Addressing the systems issues in
your business is the quickest way
60
:to get out of overwhelm and stress.
61
:We sometimes think that that is not
the quickest way and like I have
62
:so much client work to do that.
63
:I had to have to focus on the client work.
64
:And then I can get to my systems, but
honestly, if you can take a pause.
65
:And figure out why is your client work?
66
:Stacking up, is it because you don't
have a support ticketing system?
67
:Is it because you don't actually
have boundaries in your offer?
68
:So people are emailing you and they're
saying like, I need this fixed or
69
:this is broken or where is this?
70
:And instead of creating policies
around your turnaround time,
71
:you're just stopping everything
and you're like fixing their stuff.
72
:If you're in that mode.
73
:You're not focusing on your systems.
74
:You're focusing on putting out
little client emergencies and it's
75
:really more bandaid solutions.
76
:So when you're able to zoom out
and I know it feels hard and I
77
:know it feels scary, but if you can
zoom out and focus on the systems
78
:issues that are causing the stress.
79
:Then you will be able to get out of
stress and overwhelm so much faster.
80
:So in the spirit of transparency,
I'm not just going to like vaguely
81
:talk about the systems issues,
the business issues that I have.
82
:I'm really going to share with you
what what's been going on and the
83
:systems that we have been working
on in the systems updates we have
84
:been making across the business.
85
:MacBook Pro Microphone-13: So the first
system that we are working on overhauling
86
:and updating is our content system.
87
:So this last week I decided to.
88
:Map out our content.
89
:We have had so many different ways that
I've written content over over the years.
90
:'cause I've been at many different
stages, so I've, I've always kind
91
:of, I've never really found a content
system that works perfectly for me.
92
:It's always an air table.
93
:We always map out our
content and air table.
94
:So every piece of content
that we create has a record.
95
:So this podcast has a
record in our content hub.
96
:Every email that we write is
in our content hub, I'm using
97
:an email that I actually wrote
and sent to my list last week.
98
:As the outline for this podcast episode,
because I shared about this in an email.
99
:So I'm kind of just going deeper
into, you know, our processes
100
:and our things on the podcast.
101
:So that's actually a system that's
been helping me, but really what I did
102
:this specifically this month for the
month of June planning out our content.
103
:Something that I did that
I've never done before.
104
:So the system is, the system
has worked for me this month.
105
:We'll see how it works next month.
106
:But what I really find with,
especially with content systems, is it.
107
:It works for like that month, but
then life happens where I'm traveling.
108
:And so I'm really trying to figure
out like, what are the best, what's a
109
:flexible system that can work with me
and my energy levels as I create content.
110
:So the biggest thing that helped me for
this month and the, in my systems journey.
111
:Was I looked at my calendar
and actually did this on paper
112
:without going an air table first
or without doing it technology.
113
:I still use analog sometimes, especially
when in market mapping things out.
114
:But I have these papers that
have like a blank calendar.
115
:So I put June and July on
there and I put all of my.
116
:Out of office states.
117
:So at summers I'm traveling a lot.
118
:And I put my out of office dates and
then I also put like, okay, if I want to
119
:send three emails a week and I found one.
120
:A podcast episode to go out every week.
121
:I had podcast episodes, reels,
and emails, any YouTube videos.
122
:So four channels of content
that I want to do to get out.
123
:I was like, all right, let's see.
124
:I want to create all of these emails.
125
:So that's like 15 emails, uh, for
the next, uh, The next five weeks.
126
:Right.
127
:So I had that and I looked and I was
like, okay, if I want to write 15
128
:emails, I am going to be traveling and
I'm gonna be doing all these things.
129
:And I can't write, I'm not going
to write an email each week.
130
:I'm not going to sit down
and write it every day.
131
:Like, it's a big issue that I've had
in my, with my team and my systems
132
:and full transparency is like, I
don't, pre-write my emails fast
133
:enough for them to schedule it.
134
:And so it just becomes messy.
135
:And like, I can't actually delegate
to the team that I'm paying for.
136
:So.
137
:I decided that Mondays and Fridays,
I don't have calls on those days.
138
:Those are going to be my
bulk content creation days.
139
:So last Monday, and I know I write
my emails best outside of my house.
140
:I do not write them well.
141
:In sitting in my office, I need to be
like inspired and in a beautiful place.
142
:So I went to the one
hotel down the street.
143
:It's a fancy hotel.
144
:And I was like, I'm going to
write my 15 emails for the month.
145
:For the next five weeks.
146
:And the reason why it was so motivating
to me was because I was like, this is
147
:the only day I can do this because I had,
I'm writing the emails on Monday and then
148
:on Friday, I'm going to make my reels.
149
:And the next Monday I'm gonna
make me podcast episodes.
150
:The next Friday, I'm gonna
make my YouTube videos.
151
:So like, All of my days were slotted out.
152
:And I think something that has happened
with my systems in the past is that I
153
:wasn't actually zooming out and planning
and forecasting my availability.
154
:I was like, oh, I'm a business owner.
155
:I don't have calls so I can like,
I can, I can do it on Friday.
156
:I can.
157
:And like, I just would never
get as much done as I wanted to.
158
:I would just push things
and it wasn't helpful.
159
:So last week I did really write 15 emails.
160
:I ha I'll link in the show notes.
161
:The threads posts that I did.
162
:I literally used, threads, which is
another system that is helpful for me
163
:when I am doing my content creation.
164
:Now.
165
:I go to threads.
166
:And I do an accountability thread where
I say, I'm going to make 15 emails.
167
:I will post in here every
time I am finished with one.
168
:And it went really well
and it was really fun.
169
:So those are also systems I'm
playing with of like, what are
170
:productivity systems that work for me?
171
:Which that's pretty out of the box.
172
:Like having threads as my productivity
group, I've also started to on
173
:Mondays and Fridays at 12 to two.
174
:Me and a handful of my business
friends, we get on a call
175
:together and we do a Pomodoros.
176
:We do focus blocks.
177
:So those systems have been helping me.
178
:So like at these tangible, air table
systems for planning my content, but they
179
:have productivity systems for like helping
me get the content done and created.
180
:So those are the systems that
I'm playing with for content.
181
:So overall.
182
:Content.
183
:I just, wasn't not, not writing content.
184
:I was writing it not
fast enough for the team.
185
:I would write it way too.
186
:I would write it last minute.
187
:I would say, Hey, you have 30 emails
to schedule, but by tomorrow that's
188
:a little bit of an exaggeration,
but those are my content systems.
189
:The next systems that we're working on
are my client results tracking systems.
190
:So again, I kind of feel like a
cobbler with no shoes because a
191
:cobbler's kid with no shoes because.
192
:I teach client results, tracking systems.
193
:But my own client results tracking
systems have totally taken the back.
194
:Back-burner just because we've been
doing so many other things in our
195
:business and we've been helping our
clients set up their client results
196
:tracking systems, and we haven't.
197
:I stepped back and made our own so
that honestly, I teach this all the
198
:time, but it makes it hard for me.
199
:To market or have a wall of wins
or have like a bunch of client
200
:results in my marketing, which
makes your marketing so much easier.
201
:MacBook Pro Microphone-15: So setting
up my own client results tracking
202
:systems has definitely been something
that we are, it's been on the list and
203
:my delivery systems are actually going
through our own trainings and our own
204
:systems of our stress course to help roll
out our client results tracking system.
205
:We have an incredible new system called
our systems overstress stamp of approval.
206
:And so when we have one-on-one clients,
we have group program clients who
207
:go through the program and they have
set up their automated onboarding,
208
:offboarding, and client results,
tracking systems for their program.
209
:. They submit a form and we get to review
what they've done and just make sure that
210
:their systems are up to our standards.
211
:And they're going to be in a directory,
that'll be automatically populated.
212
:That's going to have all of these
programs that have gone through systems
213
:overstress, and that are totally like
Ashley approved systems, overstress
214
:approved because I really only recommend.
215
:People and group programs that use
irritable to manage their group offer
216
:air table is absolutely the standard when
it comes to managing coaching clients,
217
:whether that's one-on-one coaching
clients or group program clients.
218
:And if a group program doesn't have air
table and they're using spreadsheets,
219
:or they're not using air table at all.
220
:They're going to fall behind
when it comes to keeping track
221
:of students as they get bigger.
222
:And when it comes to creating features
in their program, that helps their
223
:clients get even better results.
224
:So if you don't use air table, , you don't
have my recommendation as a group program.
225
:So I'm excited to officially roll that
out and it will be nice anytime that
226
:our students that have it, the SOS stamp
of approval have a launch coming up.
227
:We'll be able to automate that so
we can share it with our audience.
228
:So it helps our clients
get more visibility.
229
:And it helps us show
all of our client wins.
230
:So it's just like a win-win all around.
231
:So we've officially
rolled out that system.
232
:We've created the system,
we've rolled it out.
233
:We're getting our first
applications of people submitting.
234
:And I'm just so excited for that.
235
:So client results, tracking systems
are something that I've just honestly
236
:been on our list for a long time.
237
:And we finally have had
that rolled that out.
238
:And so that just feels like a huge
weight lifted off of my shoulders.
239
:MacBook Pro Microphone-16: And finally
the other set of systems that we're
240
:working on is our agency delivery system.
241
:So I have a done for you air table
agency that takes the operations of
242
:your group program management off of you
and your team and lets me and my team
243
:handle your group program operations.
244
:All your air table operations.
245
:So you just can make sure
that everything is getting set
246
:up correctly the first time.
247
:So our agency is currently at
capacity, which is amazing, but
248
:especially with done for you, offers
your systems are always evolving.
249
:So we've had an amazing first
cohort of agency clients.
250
:But we have a laundry list
of things that we can do to
251
:improve the client experience.
252
:And I don't say this, and I think it's
really important to know because I can.
253
:I'm going to be hard on myself of like,
oh, I have these system ideas now.
254
:So the last iteration wasn't great.
255
:That's not true.
256
:It was great.
257
:Then if we kept running it like
that, it would be totally great.
258
:But we always get to improve
and that can be like a very
259
:neutral two exciting things.
260
:I'm looking at this as like, oh my
gosh, we get to, like, we get to make
261
:all of these new iterations for our
clients, our price isn't going to go up.
262
:But the value that they're going
to get is going to be like tenfold.
263
:It's just going to be incredible.
264
:So after an amazing first cohort of agents
and clients, we're totally renovating
265
:our delivery and our operating systems to
help get our clients even more results.
266
:And set up their air table systems
faster and more efficiently
267
:than we've ever done before.
268
:So I'm really excited to, to share
more about that in the future.
269
:But we have to set up the support
ticketing systems for our agency clients.
270
:Uh, we've set up systems
tracks for our agency clients.
271
:So based on their onboarding
forms, we know exactly.
272
:What systems we should be focusing
on first when it comes to making sure
273
:they're setting up systems that will
make the most impact for them right away.
274
:So I'm super excited for that.
275
:So agency delivery systems,
client results, tracking systems
276
:and content management systems.
277
:Those are things that
have been causing me like.
278
:Mild levels of stress over the last few
months and really just addressing the
279
:actual systems issues and not like the
little emergency is the little bandaid
280
:fixes, but really zooming out and creating
the foundational huge like systems shifts.
281
:Has truly gotten me out of the
weeds and that's just made me feel
282
:like I can actually tackle this
and business can be sustainable.
283
:And all of the things.
284
:So I share this just because it is
normal, especially if you are not
285
:assistance person, but even if you are
assistance person, it doesn't matter.
286
:It is normal for you to feel
stressed in your business.
287
:But let that be kind of in the Canary,
in the coal mine, that things really need
288
:to change and reach out for support now.
289
:So, if you're stressed, I promise you
that systems are a great way to alleviate
290
:that stress and get some immediate relief.
291
:Let me and my team identify the
exact systems that will alleviate
292
:the stress in your business.
293
:So.
294
:I am taking sales calls.
295
:For our done for your agency, depending
on the time that you're listening
296
:to this, either the we're on a
wait list or we have availability.
297
:So regardless we're always taking sales
calls, so we can just slot you into
298
:the next month that we have available.
299
:So if you're interested in working
with me and my team to help you
300
:set up systems, uh, please book
a sales call on the sales call.
301
:You'll tell me all of the things that you
feel like aren't working in your business.
302
:And I'll be able to come up with simple
system solutions that we'll be able
303
:to build an air table to immediately
alleviate stress in your business.
304
:So we'll take a look at your
existing onboarding systems,
305
:your off-boarding systems.
306
:You're launching your spreadsheets,
your current air table basis.
307
:And I'll just show you how air table
can really automate the majority of
308
:your team's admin hours, make you more
money and skyrocket your client results.
309
:So I love sharing.
310
:Like I'm very comfortable in
my expertise to admit, like I
311
:have system stress sometimes,
but I know how to get out of it.
312
:I know how to build the systems
that can help me get out of
313
:the system's overwhelmed.
314
:And I'm so grateful.
315
:I have that skill.
316
:Some of us don't have that skill.
317
:So it was just like, I'm overwhelmed
and I don't know what needs to happen.
318
:So let me come in and look at
what's going on in your business.
319
:I get an overall view and we can
recommend some specific system
320
:solutions that can help you.
321
:So I hope this was helpful just to see
what I'm going through my business.
322
:It's been a while since I've
been, did a little behind the
323
:scenes business update on the pod.
324
:Uh, would love to absolutely support
you in if you're feeling stressed,
325
:getting out of that zone and we
will see you in the next episode.
