23: 3 Things That A Causing Me Stress In My Business (And How I'm Solving Them with Systems)

In this episode, I wanted to share some behind-the-scenes updates about my business and admit something—I am stressed. Yes, even the person behind Systems Over Stress gets stressed about her own business. It's that lingering stress that keeps me up at night thinking about all the extra work I need to do. I've had those moments of crying to my business coaches and even wondering if I should burn it all down. But don't worry, I am fine, the business isn't going anywhere, and I'm not actually burning anything down.

Here's what I've been up to:

1. Recognizing Stress as a Signal:

  • If you're feeling stressed about your business, it's a crucial time to pause and evaluate what's going on. For me, stress is a key indicator that something is off—whether it's in my business operations, boundaries, or team communication. Whenever I pause and really try to problem-solve, I always come back to the same solution: better systems.

2. Content Systems Overhaul:

  • This past week, I revamped our content system. I've always used Airtable to map out our content, but I've never found a perfect system. This month, I tried something new. I mapped out my content on paper first, marking out-of-office dates and scheduling bulk content creation days. Mondays and Fridays are now dedicated to writing emails, making reels, recording podcast episodes, and creating YouTube videos. This new system has been working well so far, and I'm excited to see how it evolves.

3. Client Results Tracking Systems:

  • As someone who teaches client results tracking systems, it's ironic that our own system has taken a backseat. We've been busy helping clients set up their systems, but it's time to focus on our own. We've rolled out our Systems Over Stress Stamp of Approval, where clients submit their systems for review. This helps us ensure their systems meet our standards and gives them visibility in our directory. It feels great to finally have this system in place.


4. Agency Delivery Systems:

  • Our done-for-you Airtable agency is at capacity, which is amazing. But with any done-for-you offer, systems are always evolving. We're improving our delivery and operating systems based on feedback from our first cohort of clients. We're setting up support ticketing systems and tracks for agency clients to streamline their onboarding and ensure they get the most impactful systems set up first. I'm excited about these updates and the improved client experience they'll bring.

and take stock of what's going on.

For me, stress is one of

the key indicators that just

something is generally off.

my boundaries, the way my team and I

are communicating, like just something

is off and something is up and whenever

I'm stressed and I actually take

Get out of the weeds, be gentle with

myself and really trying to problem solve.

solution, which is like, we

systems, but you always have to be

be evolving and it can feel like

And then I can get to my systems, but

honestly, if you can take a pause.

And figure out why is your client work?

Stacking up, is it because you don't

have a support ticketing system?

have boundaries in your offer?

So people are emailing you and they're

saying like, I need this fixed or

this is broken or where is this?

around your turnaround time,

you're just stopping everything

and you're like fixing their stuff.

and I know it feels hard and I

I've written content over over the years.

stages, so I've, I've always kind

system that works perfectly for me.

So that's actually a system that's

been helping me, but really what I did

month of June planning out our content.

Something that I did that

I've never done before.

has worked for me this month.

then life happens where I'm traveling.

And so I'm really trying to figure

out like, what are the best, what's a

flexible system that can work with me

and my energy levels as I create content.

So the biggest thing that helped me for

this month and the, in my systems journey.

Was I looked at my calendar

and actually did this on paper

without going an air table first

or without doing it technology.

I still use analog sometimes, especially

when in market mapping things out.

But I have these papers that

have like a blank calendar.

So I put June and July on

there and I put all of my.

Out of office states.

So at summers I'm traveling a lot.

And I put my out of office dates and

then I also put like, okay, if I want to

send three emails a week and I found one.

A podcast episode to go out every week.

I had podcast episodes, reels,

and emails, any YouTube videos.

So four channels of content

that I want to do to get out.

I was like, all right, let's see.

I want to create all of these emails.

So that's like 15 emails, uh, for

the next, uh, The next five weeks.

Right.

So I had that and I looked and I was

like, okay, if I want to write 15

emails, I am going to be traveling and

I'm gonna be doing all these things.

And I can't write, I'm not going

to write an email each week.

I'm not going to sit down

and write it every day.

Like, it's a big issue that I've had

in my, with my team and my systems

and full transparency is like, I

don't, pre-write my emails fast

enough for them to schedule it.

And so it just becomes messy.

And like, I can't actually delegate

to the team that I'm paying for.

I decided that Mondays and Fridays,

Those are going to be my

So last Monday, and I know I write

my emails best outside of my house.

I do not write them well.

like inspired and in a beautiful place.

So I went to the one

hotel down the street.

It's a fancy hotel.

And I was like, I'm going to

write my 15 emails for the month.

And the reason why it was so motivating

to me was because I was like, this is

the only day I can do this because I had,

I'm writing the emails on Monday and then

on Friday, I'm going to make my reels.

And the next Monday I'm gonna

make me podcast episodes.

The next Friday, I'm gonna

make my YouTube videos.

So like, All of my days were slotted out.

And I think something that has happened

with my systems in the past is that I

wasn't actually zooming out and planning

and forecasting my availability.

I was like, oh, I'm a business owner.

I don't have calls so I can like,

And like, I just would never

get as much done as I wanted to.

I would just push things

and it wasn't helpful.

So last week I did really write 15 emails.
