Hey, hello.

Melyssa:

How are you doing mama?

Melyssa:

I am just going to jump right in here.

Melyssa:

We are going to continue talking about money and how to track

Melyssa:

the money in your business.

Melyssa:

I talked about that a little bit in the last episode, we kind of talked about

Melyssa:

the overall keeping track of the money coming into your business, the money

Melyssa:

going out, your income and your expenses.

Melyssa:

And today I really want to focus on receipts.

Melyssa:

That has to do with obviously the money that you're spending in your business.

Melyssa:

That is the expenses side of the business.

Melyssa:

I know that this is something that people struggle with is you get these

Melyssa:

receipts, you have all this paperwork.

Melyssa:

You're like, oh my gosh, there's all these papers here.

Melyssa:

How do I really keep track?

Melyssa:

A year is a long time, 12 months, 365 days.

Melyssa:

You need to track all of that so that when it comes tax time, you're able to

Melyssa:

either do your taxes yourself or hand that information off to your tax person.

Melyssa:

What I want to stress today is when you get these invoices and receipts

Melyssa:

for expenses in your business.

Melyssa:

I want you to make sure that you keep every single last one of them.

Melyssa:

I know that that can make you crazy.

Melyssa:

And in a digital world, it is hard to imagine that, but I hold on,

Melyssa:

just keep listening because I do have some tips for you to handle this.

Melyssa:

Really anything that you are spending money for on your business, if it's

Melyssa:

marketing expenses, office supplies, office furniture, something like

Melyssa:

software, hardware, Anything if you're running ads for Facebook,

Melyssa:

taking prospective clients out to eat, meeting with your actual

Melyssa:

clients, attending programs where you're doing some sort of networking.

Melyssa:

I want you to keep track of any money that you spend for that.

Melyssa:

If you are taking any courses, anything that you are doing to spend

Melyssa:

money directly for your business, you need to keep those receipts.

Melyssa:

Okay, so we're going to keep all these receipts.

Melyssa:

But like, what are we going to do with them?

Melyssa:

One thing that you can do is you could take a photo.

Melyssa:

You can take a picture.

Melyssa:

Put your receipt on your smartphone.

Melyssa:

You can capture the details that way so that you do have it at your fingertips.

Melyssa:

It is a digital copy of that way so that you don't have to

Melyssa:

have a bunch of hard copies.

Melyssa:

And so that does say that physical space that some of

Melyssa:

those receipts can be taking up.

Melyssa:

Also look at some receipt management apps.

Melyssa:

I know that there are several apps out there where you can snap that picture

Melyssa:

or whether your phone does like a quick scan of it and find one that really

Melyssa:

works whatever your preference is.

Melyssa:

That's something that then can be uploaded onto different programs.

Melyssa:

For a little bit more of a traditional approach.

Melyssa:

You could do a combination.

Melyssa:

Now, a lot of my receipts actually come in from email, so they're already electronic.

Melyssa:

Someone will send me a PDF or I'll pay something via.

Melyssa:

PayPal or Stripe or however it may be.

Melyssa:

And then I get a receipt, a digital receipt for that.

Melyssa:

What I do in that case is I have a folder, a dedicated folder on my

Melyssa:

computer for all of my receipts.

Melyssa:

Now I do this with my emailed receipts that are already digital.

Melyssa:

And I also do it with my physical receipts that I, you know, kind

Melyssa:

of take a picture of or I scan.

Melyssa:

I have them in a financial folder and I save them so that they are saved by year.

Melyssa:

And then by in folder, I have them saved by month also.

Melyssa:

And I have them in date order because that way, it makes it so much easier

Melyssa:

for me to go back if I do need to find something, it is really easy

Melyssa:

for me to find, instead of having to wade through and figure out like, oh

Melyssa:

my gosh, what did I spend on that?

Melyssa:

Or, you know, whatever it may be.

Melyssa:

It's just so much easier to have a system that's really easy to make you

Melyssa:

pinpoint exactly what you're looking for without wasting a ton of time.

Melyssa:

Personally, when it comes to accounting and bookkeeping and

Melyssa:

keeping track of my receipts.

Melyssa:

I talked about this a little bit in the last episode I used

Melyssa:

the program Xero it's spelled.

Melyssa:

It is spelled X, E R O.

Melyssa:

And that's an actual accounting program.

Melyssa:

Like I said, you do not have to use an actual accounting

Melyssa:

program in your business.

Melyssa:

You can do a spreadsheet.

Melyssa:

It works just as well.

Melyssa:

I like having this software program.

Melyssa:

And a bonus for me is that it also has an app called Hubdoc.

Melyssa:

And in Hubdoc I'm able to take the picture in that app of my receipt.

Melyssa:

And then it links seamlessly with Xero and somehow I'm able to categorize

Melyssa:

the expense, right away in there.

Melyssa:

So it does save me a little bit of time that it's a seamless process.

Melyssa:

I like Xero for a number of reasons.

Melyssa:

It's really reasonably priced.

Melyssa:

I think it's pretty cost-effective it is not free.

Melyssa:

There is a monthly fee, but it's really to me it is a low cost option.

Melyssa:

It's really user-friendly.

Melyssa:

It's intuitive.

Melyssa:

I didn't have to take a lot of time to learn what I was doing, there wasn't

Melyssa:

a huge learning curve and they really have great customer service, which is a

Melyssa:

huge plus for me, is to be able to have that ability to get some help if I do

Melyssa:

need something with that's a little bit more confusing or complicated for me.

Melyssa:

And just a reminder, the reason why it is so important to keep

Melyssa:

track of these receipts for your business is you want that write off.

Melyssa:

When it comes to tax season, you want to have a complete financial picture.

Melyssa:

You want to know how much money is coming in to your business, how much

Melyssa:

income you are making and how much expenses you have what money you are

Melyssa:

spending of your business income.

Melyssa:

So keeping track of the receipts helps with that.

Melyssa:

It also does help at tax time, the benefit of being able to keep these

Melyssa:

receipts and then using those as a write-off every little bit counts.

Melyssa:

So we really want to make sure that we are tracking every single

Melyssa:

little bit of our business.

Melyssa:
