Amy:

Keeping track of your museum's numbers is so important.

2

:

On this really short episode, we're

going to set up a spreadsheet so that you

3

:

can begin recording your numbers today.

4

:

Yes, like now!

5

:

Let's get started.

6

:

Welcome to the "Love my Museum" podcast.

7

:

I'm your host, Amy Kehs,

and I love museums.

8

:

I also happen to be a brand

strategist and communications expert.

9

:

Today, we're talking about your

museum's numbers and how important

10

:

it is to record these metrics.

11

:

It's going to be a really short

episode because I want you to

12

:

remember what I'm saying, and I

want you to take action today.

13

:

Metrics give you the low down on how

you're doing, where you're headed and what

14

:

needs a little extra love at your museum.

15

:

It's not just about collecting numbers,

it's about using them to supercharge

16

:

your progress at your museum.

17

:

They can help back you up when you

want to create an exhibit based off

18

:

of a popular program you just had.

19

:

I know that as a museum expert,

you probably have hunches about

20

:

what will do well at your museum

and having the numbers to support

21

:

those theories can help you justify

the new ideas that you're planning.

22

:

In our planning episode, we talked

about how planning is like a

23

:

roadmap and that you want to make

sure that everyone at your museum

24

:

has the same goals and priorities.

25

:

Well, if planning is the roadmap, think

of metrics as the compass for that map.

26

:

If you have the numbers to guide you,

you're more likely to spend time on things

27

:

your visitors will be interested in.

28

:

Here are a couple of examples.

29

:

You look at your numbers from the

last quarter, and you see that out

30

:

of all of the programs you did, one

program had the highest attendance.

31

:

In fact, you go back and compare

it to the whole previous year

32

:

and it still comes out on top.

33

:

Well, maybe it's a contender to

do a whole exhibit on that topic

34

:

or maybe you want to bring it

back as a regular ongoing program.

35

:

Now, of course the

reverse is true as well.

36

:

Maybe there's an event that

didn't do well that you were

37

:

considering to be an annual event.

38

:

What could you change to

make it more appealing?

39

:

Without metrics, it's like

trying to navigate that windy

40

:

road with your eyes closed.

41

:

You're just guessing.

42

:

So.

43

:

Where do you start?

44

:

Where do we begin?

45

:

First, I want you to set up a spreadsheet.

46

:

You can start simple.

47

:

Just please start.

48

:

I'm going to walk you

through it right now.

49

:

So open up a Google sheet or an Excel

document, any kind of spreadsheet.

50

:

In the left column, I want

you to record the date.

51

:

And then in the other columns

for that date, record things

52

:

like your visitor numbers, social

media metrics, website data.

53

:

You can also record numbers for

any revenue streams, like museum

54

:

memberships or donations, ticket

sales, special events, gift shop

55

:

sales, whatever might apply.

56

:

You can share the document with your

coworkers and have each team member that's

57

:

responsible for that number fill it in.

58

:

So, for example, if you have a gift

shop and you have a gift shop manager,

59

:

that person will be responsible

for filling out those numbers.

60

:

Now at this point, you might be

saying, "Amy, I am never going to

61

:

get my colleagues to go for this.

62

:

That's okay.

63

:

Start small.

64

:

Start with the numbers that

you're responsible for.

65

:

When you show up at a meeting and

you have the numbers to back up

66

:

your recommendations and your ideas,

everybody will want to get on board.

67

:

Second, take your spreadsheet and record

your metrics every week on the same day.

68

:

I recommend Monday mornings.

69

:

So on Monday morning, everyone that is

helping you fill out the spreadsheet

70

:

goes into the spreadsheet and fills

out the numbers for the previous week.

71

:

Third, I want you to review your

metrics at the end of each month.

72

:

There may also be some numbers on

there that you can only record once a

73

:

month, like, probably visitor numbers.

74

:

And so at the end of each month, take a

look at those metrics and review them.

75

:

What worked well?

76

:

What didn't?

77

:

Were there any unexpected highs or lows?

78

:

One of my most popular posts on social

media are the posts that I do on the last

79

:

day of every month, reminding everyone

to review your metrics for the month.

80

:

If you follow me on social media,

you may have seen that reminder.

81

:

So, if you start today, having this

benchmark will be a huge advantage

82

:

as you listen to this podcast

and implement the other tips and

83

:

tricks that I'm going to teach you.

84

:

You'll be able to see how things are

changing three months from now, six

85

:

months from now, a year from now.

86

:

Using numbers will simply help

you understand what is working

87

:

and what you can build on.

88

:

It will help inform your decisions

for your museum moving forward.

89

:

Okay, so let's review.

90

:

Number one, set up your spreadsheet.

91

:

Number two, you're going to record your

metrics every week on the same day.

92

:

I recommend Mondays.

93

:

If you listened to the last episode

of the podcast, I gave some hints

94

:

for how to practice a new habit.

95

:

So you could simply put a

sticky note on your desk.

96

:

Or you could create a recurring

task in your calendar that

97

:

reminds you every Monday morning.

98

:

Okay, so we set up our spreadsheet.

99

:

We're recording our metrics every week.

100

:

And we're reviewing our metrics

at the end of the month.

101

:

That doesn't sound too hard does it?

102

:

If you're staring at a blank screen,

let me give you some more help.

103

:

You can head to lovemymuseum.com/metrics,

and you can download a

104

:

museum metrics template.

105

:

The template is in a Google sheet.

106

:

And so you can either download it as

an Excel file or you can make a copy

107

:

and you can use it as a Google sheet.

108

:

Once you have your own copy,

customize it to fit your museum.

109

:

You can change it to your own

brand fonts and brand colors.

110

:

Then set that reminder in your

calendar and you're all set to go.

111

:

And that's it.

112

:

Keep in touch and let me know how it goes.

113

:

That's all for today.

114

:

I'll see you next time.
