All right, friends, let's begin with understanding batch work because first

things first, how does batch working work?

Batch work is a productivity technique where you group similar tasks together

and complete them in one focused session.

Instead of switching between different types of tasks, you dedicate a block

And I have to say that batch working has Completely leveled

up my productivity game.

Speaker:

A few benefits of batch working are efficiency.

When you focus on one type of task at a time, you eliminate the downtime

caused by switching between tasks.

This makes you more efficient and allows you to get more done in less time.

Number two, consistency.

Batch working helps you maintain a consistent output.

For example, if you record multiple podcast episodes in one session,

Let me share a personal story about how I discovered batch work.

A few years ago, probably Probably like maybe eight years ago or so.

Speaker:

I was just juggling a lot.

Speaker:

I had my clients, I had my own business, I was managing their content creation,

Speaker:

their community management, online event planning, and just day to day tasks.

Speaker:

I constantly felt overwhelmed and scattered, and I've

Speaker:

always been a people pleaser.

Speaker:

So when an email would come in from a client and I felt like I needed to answer

Speaker:

it immediately, I would pivot from the task I was working on to take care of

Speaker:

something that wasn't always timely.

Speaker:

I then stumbled upon the concept of batch work and I decided to give it

Speaker:

a try by dedicating not just specific days of my week to content planning or

Speaker:

recording, but specific chunks of my day because I have to work on client work.

Speaker:

multiple times throughout the week.

Speaker:

I was able to time block my day, which I'll talk about more later and

Speaker:

really hone in and get things done.

Speaker:

The difference was truly incredible.

Speaker:

And not only did I become more productive, but I also felt

Speaker:

more in control of my schedule.

Speaker:

That's when I became a true believer in batch work.

Speaker:

Now that we understand what batch working is and why it's beneficial,

Speaker:

let's move on to the strategy breakdown.

Here are four strategies to help you start batching like a boss.

Number one, theme days.

Speaker:

This means assigning specific tasks to specific days.

Speaker:

For example, you could dedicate Mondays to content planning, Tuesdays

to recording, Wednesdays to editing, and Thursdays to community engagement.

This structure helps you stay focused and ensures that all important

tasks are getting done regularly.

Next up is the content calendar.

Speaker:

A content calendar is essential for organizing your ideas

and scheduling your content.

Speaker:

It allows you to see your upcoming content at a glance and

ensures that you stay on track.

To set up a content calendar, you can use tools like Google Calendar,

Trello, ClickUp, and plan your content themes, topics, and deadlines in advance

and update your calendar regularly.

Now, we manage All content creation for all of our clients

Speaker:

and for ourselves using ClickUp.

Speaker:

It has been a game changer for us , to create to do's and to

Speaker:

delegate who's doing what on the team.

Speaker:

So if you have a larger team, I highly recommend using something like ClickUp or

Speaker:

maybe Asana to manage all of those tasks.

Speaker:

If you're just starting out , a one person show, Trello is a really great option.

Speaker:

We use Trello in our business as well.

Speaker:

And when I first started out, I did everything in Trello.

Speaker:

On top of that, we actually have a couple of templates over in the shop.

That could help get you started.

Speaker:

We have both a Trello content planner and a Google Sheets content planner.

Speaker:

So check those out.

Our third strategy is batch recording.

So this podcasts, episodes, or videos in one session.

So if you're a course creator, where you create audio or video

content for your community.

And pro tip, if you're not add that to the roadmap to do this effectively, prepare

your scripts and notes in advance so you can transition smoothly between episodes.

This not only saves time, but it also ensures a consistent tone

and energy across the recordings.

Finally, let's talk about editing sessions.

Just like batch recording, editing multiple sessions in

one go can be a huge time saver.

Schedule a specific time for editing and use tools like Descript, that's

what we use, Adobe Audition, or others to streamline the process.

Speaker:

By focusing solely on editing, you can get into a rhythm and

complete the task more efficiently.

When we as a team are doing podcast editing, we have a process in place where

Speaker:

there's an initial edit, for content.

Speaker:

And then we have a secondary edit.

Speaker:

That is for audio quality, video quality, creating that

Speaker:

transcript and those show notes.

Speaker:

And we batch work each of those tasks even separately.

Speaker:

Now, if you're ready to take your batch working to the next level, I've

got a few advanced techniques for you.

Creating templates for social media, your circle graphics, blog entries, and

newsletters can save you a ton of time.

Speaker:

Templates ensure that your branding is consistent and reduce the amount

of time you spend on repetitive tasks.

Design templates for different types of content and customize them as needed.

Speaker:

And if you're not using a tool like Canva, you need to add it into your tool stack.

We also have a ton of awesome Canva templates to help you get

over those hurdles of staying consistent in the inner circle.

Automation tools are your best friend when it comes to batch working.

We recommend using tools like Plan for social media scheduling, the

Speaker:

Circle Post Scheduler in Zapier to schedule posts, manage tasks,

and automate repetitive processes.

Speaker:

We even in our ClickUp account have workflows built in so we know when a

Speaker:

specific task gets done on say Producing a podcast episode that populates a

Speaker:

task for somebody else to possibly do for the next step in the process

Spending this additional time to set up these workflows will really help

Speaker:

with your productivity in the long run.

Speaker:

These tools free up your time so you can focus on more important

Speaker:

tasks like growing your community.

Speaker:

Sometimes the best way to handle batch working is to delegate.

Identify tasks that can be outsourced to freelancers or virtual assistants.

This was also a big game changer in my business.

Speaker:

When I stopped doing what I call the grunt work, I really was able

to flourish by bringing on a virtual assistant and a freelancer.

I was able to clear up a lot of time to be able to grow my own community,

whether it's graphic design, social media management, community management,

Speaker:

administrative tasks, outsourcing can help you stay focused on core activities.

So, websites like Upwork and Fiverr are great places to find reliable

help, and , I've also found really reliable help by just putting out

Speaker:

a message in the Circle community.

Speaker:

Consistency is key to successful batchworking, so let's explore

strategies to help you maintain your batchwork consistency.

Speaker:

Routine.

Speaker:

This was tough in the beginning, but you know, just like any good routine, it takes

Speaker:

a little while to get into the rhythm.

Speaker:

Set regular intervals to review and adjust your batch working processes.

Speaker:

This could be weekly, monthly, quarterly, depending on your needs and the task.

Speaker:

Remember, reviews help you identify what's working and what needs

Speaker:

improvement, ensuring that your workflow remains efficient and effective.

Speaker:

Time blocking involves allocating specific blocks of time for

Speaker:

different types of work.

Speaker:

For example, you might block out two hours in the morning for content

Speaker:

creation and another two hours in the afternoon for community engagement.

Speaker:

This helps you stay focused and avoid distractions.

Speaker:

Use a planner or digital calendar to schedule your time blocks.

Speaker:

Now, this is one that, this is the thing I adopted immediately.

Speaker:

I went from being very scattered of, I needed to get all of these

Speaker:

things done, and sometimes none of them even went together.

Speaker:

It's a lot easier to create graphics for clients if I do it all at once.

Speaker:

So I used to time block my day per client, and now I time block my

Speaker:

day per like program or task type.

Speaker:

So if I need to create graphics for multiple clients in a week, I'm going to

Speaker:

do all that graphic creation at one time.

Speaker:

across multiple different clients.

Speaker:

And that's another reason why if you haven't already checked out, we have

because I can just toggle between those brands and all the colors, the

Speaker:

fonts, the logos, they all populate.

Speaker:

And I'm able to efficiently and effectively create a lot of content

very quickly all by time blocking.

Last but not least.

Don't forget to incorporate self care and breaks into your batch work schedule.

Taking regular breaks and prioritizing self care prevents burnout and keeps
